Our Spa Coordinator serves as the central point of contact for all spa guest interactions, ensuring a seamless, elevated experience from arrival through departure. This role combines exceptional guest service skills, meticulous organization, and operational support to uphold the luxury standards of a high‑end hotel spa. The ideal candidate is polished, detail‑oriented, and thrives in a guest‑focused, fast‑paced environment.

What you'll be doing...

Guest Experience & Front‑of‑House Excellence

  • Welcome spa guests with warmth, professionalism, and a refined hospitality presence
  • Manage all spa reservations, check‑ins, and check‑outs with efficiency and discretion
  • Provide clear, knowledgeable information on spa services, amenities, and policies
  • Anticipate guest needs and personalize interactions for VIPs, hotel guests, and repeat clientele
  • Resolve guest inquiries or concerns promptly and gracefully, escalating when appropriate

Scheduling & Administrative Support

  • Coordinate daily therapist schedules, treatment room assignments, and service flow
  • Maintain accurate guest profiles, service notes, and preferences within the spa system
  • Process payments, gratuities, memberships, and retail transactions with precision
  • Prepare daily reports, end‑of‑shift reconciliations, and operational logs as required
  • Monitor appointment flow to maximize efficiency while preserving service quality

Retail & Brand Representation

  • Present and recommend luxury spa retail products in a consultative, service‑driven manner
  • Support spa revenue goals through thoughtful upselling that enhances the guest experience
  • Consistently represent the hotel and spa brand with poise, professionalism, and discretion

Spa Operations & Team Coordination

  • Liaise with therapists, spa management, housekeeping, and hotel departments to ensure smooth operations
  • Maintain front desk, relaxation areas, and retail displays to luxury presentation standards
  • Assist with inventory tracking, supply coordination, and special spa events or promotions
  • Uphold all health, safety, and cleanliness standards in accordance with spa protocols

Requirements...

  • Minimum 1–2 years of experience in a luxury spa, hotel, resort, or high‑end hospitality setting preferred
  • Strong guest service and interpersonal communication skills
  • Professional appearance and demeanor consistent with a luxury brand
  • Proficiency with spa booking systems and POS platforms; Book 4 Time experience preferred
  • Excellent organizational skills and attention to detail
  • Ability to remain calm, polished, and efficient in a high‑volume service environment
  • Discretion and respect for guest privacy and confidentiality
  • Flexible availability, including weekends and holidays

Communication:

  • Excellent verbal and written communication skills
  • Must be able to speak, read, and write in primary language used in the workplace

Physical:

  • 8+ hours per day at standing computer/desk 
  • Stand and walk frequently throughout the workday
  • Lift, lower, and maneuver up to 30 pounds occasionally
