The impact you’ll make…

The Sales Assistant plays a vital role in supporting the hotel’s Sales Department and ensuring the smooth execution of all sales and marketing activities. This position contributes directly to achieving revenue goals by managing administrative responsibilities, maintaining accurate sales records, and delivering exceptional customer service to both internal and external clients.

What you’ll be doing…

I. Administrative & Organizational Support

  • Manage and maintain the sales team calendar, including appointments, meetings, and site tours.
  • Prepare, distribute, and file sales-related documents such as contracts, proposals, invoices, and weekly/monthly reports.
  • Process and track incoming sales leads to ensure timely follow-up by the appropriate Sales Manager.
  • Maintain and update the Customer Relationship Management (CRM) system or sales database (e.g., Delphi, Amadeus Hospitality).
  • Order and maintain office supplies and sales collateral, including brochures, menus, and fact sheets.

II. Communication & Customer Service

  • Serve as the primary point of contact for incoming sales inquiries via phone and email, directing them to the appropriate Sales Manager.
  • Handle general sales correspondence and manage follow-up communications on behalf of the sales team.
  • Assist in coordinating and preparing for site inspections, including room setups and welcome materials for potential clients.
  • Maintain professional, positive communication with clients, vendors, and hotel departments.

III. Sales & Marketing Support

  • Assist in the development of sales kits, presentations, and promotional materials.
  • Support the planning and execution of sales blitzes, trade shows, and client events.
  • Compile and track data for sales performance reports, including conversion metrics and pace reports.
  • Assist with banquet deposits, billing, and coordination with the Events team where appropriate.

IV. On-Site Event Execution

  • Oversee on-site activities for assigned events, including setup, production, and tear-down.
  • Serve as the primary point of contact during events, proactively troubleshooting issues and resolving any last-minute needs.

Requirements…  

  • Proven experience in an administrative support role, preferably within hotel, hospitality, or sales environments.
  • Exceptional organizational skills with strong attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong verbal and written communication skills.
  • Ability to multitask effectively and prioritize in a fast-paced environment.

Preferred...

  • Knowledge of basic hotel operations and sales terminology (e.g., group bookings, catering, transient).
  • Familiarity with CRM or hospitality sales systems such as Delphi or Amadeus Hospitality.
