Rooms Controllers in hotels play a key role in managing room inventory and ensuring smooth check-in experiences. The Rooms Controller assigns rooms based on guest preferences, VIP status, and special requests, while balancing occupancy and availability. The Rooms Controller also coordinates closely with housekeeping and front desk teams to ensure rooms are clean and ready on time. The goal of the Rooms Controller is to maximize revenue and guest satisfaction through smart room assignment and planning.
What you'll be doing...
- Welcome arriving guests and complete the hotel’s arrival/check-in experience, ensuring special requests are fulfilled and accurate information is received.
- Follow all company policies and procedures;
- ensure uniform and personal appearance are clean and professional;
- maintain confidentiality of proprietary information; protect company assets.
- Welcome and acknowledge all guests according to company standards; anticipate and address guests’ service needs; assist individuals with disabilities; thank guests with genuine appreciation.
- Speak with others using clear and professional language;
- prepare and review written documents accurately and completely; answer telephones using appropriate etiquette.
- Coordinate tasks and work with other departments.
- Serve as a departmental role model. Develop and maintain positive working relationships with others; support team to reach common goals.
- Comply with quality assurance standards.
- Enter and locate information using computers and/or POS systems.
- Review/Track/Accommodate requests for room/check-out changes when possible; communicate status to appropriate staff. Confirm reservations and cancellations.
- Ensure rates match market codes and document exceptions. Verify and adjust billing for guests.
- File guest paperwork or documentation. Set up/process all guest check-ins/check-outs. Activate room keys.
- Secure valid payment.
- Perform duplicate reservation checks; block rooms.
- Run daily reports.
Requirements...
Experience:
- Education: High school diploma or G.E.D. equivalent.
- Related Work Experience: Less than 1-year related work experience.
Communication:
- Excellent verbal and written communication skills
- Must be able to speak, read, and write in primary language used in the workplace
Physical:

- Must be able to read computer screen.
- Must be able to operate computer, calculator and telephone keyboards, for cash handling and paperwork processing.
- Must be able to understand and follow verbal/written instructions, work on more than one task at a time, and be able to communicate both verbally and in writing.
- 95% of shift is standing
- Mobility - must be able to reach all areas of hotel to assist clients.
- Occasional carrying and lifting of files, water bottles, amenities, and office items up to 25 lbs.
