The Accounts Payable (AP) Processor supports a critical component of the overall Account Team’s mission. Working closely with Property Accountants, the AP Processor ensures vendor information accuracy, timely payment of invoices, and supports processes related to internal and external audits.

What you'll be doing...
- Maintaining vendor files in accounting database: setting up new vendors; updating vendor information; and auditing vendors for W-9 compliance.
- Managing TIN verification process for all new vendors.
- Auditing Accounts Payable batches submitted by hotel properties. Audit includes verifying key data such as vendor code, invoice number, invoice date, amount, and general ledger code.
- Also includes verifying invoice image has been updated in Purchase order system.
- Entering invoices/vouchers received at the Home Office into the accounting system.
- Processing Capital Expenditure invoices received from Development Accountant.
- Generating reports for Accounting team to review and approve.
- Submitting Positive pay files to the bank for checks issued.
- Responsibility of weekly hotel disbursements.
- Managing payment process including coordinating bank funding for electronic payments and required check signing protocols.
- Responsibility of ensuring payments are mailed timely.
- Reconciliation of vendor statements on a weekly basis and handling vendor and internal inquiries.
- Ensuring A/P trade and A/P check writing are in balance at the month’s end.
- Preparing 1099 Tax reporting annually.
- Compliance with federal, state and company laws, policies, and regulations
- Communication via email and/or telephone to property personnel and Home office accounting team.
You should be able to...
- Speak, read, write, and understand the primary language(s) used in the workplace.
- Work comfortably with a large volume of transactions.
- Effectively use computer accounting programs and basic math skills.
- Maintain high degree of organization.
- Sit at a desk/computer for hours at a time.
